Auto-numbering and barcodes

A unique number for every document from the moment it is uploaded, and a barcode that joins paper to digital

Manual numbering repeats and clashes between folders, and finding the digital file behind a sheet in the archive relies on memory. Mstnd gives each folder its own numbering pattern, with a prefix, suffix, year and sequence, so every document receives its unique number automatically on upload.

The barcode is printed on or attached to the paper copy, and one scan opens the digital file with its versions and data.

Setting up a folder's automatic numbering pattern in Mstnd

How does Mstnd number documents automatically and link them to barcodes?

The folder owner sets the numbering pattern in the folder's settings: prefix, suffix, separator, number of sequence digits and starting point, with options to include the year, month and day; the next number is previewed before saving, for example CERT-26-10-0001-TRN. Any document uploaded to the folder automatically takes the next number in the sequence with no intervention, so numbers never repeat or clash. Each document also gets a barcode carrying its number, printed on the paper copy; scanning it opens the digital file directly.

A numbering pattern per folder with prefix, year and sequence gives every document a unique number automatically on upload, linked to its paper copy by barcode.

The challenge

Each department numbers its documents its own way: HR with a sequence in a register, finance with numbers in a spreadsheet. Numbers repeat across departments, and getting from a sheet in the archive to its digital file takes a long search.

How Mstnd solves it

A numbering pattern per folder, set once by its owner, so every document takes its unique number automatically on upload and is recorded in the numbering log. The barcode printed on the sheet links it to its digital file, and one scan opens it.

The result

Unique, consistent numbers across the organization, and a journey from paper to digital file in seconds.

Auto-numbering and barcodes

A trusted number is the foundation of every archive

The reference number is what letters cite, inquiries ask for, and audits rely on. When it is assigned by hand, gaps and duplicates appear, its format differs between departments, and it becomes hard to trust.

With a defined numbering pattern per folder, the number becomes predictable and readable: the prefix tells the type, the year and month the period, the sequence the order. The barcode carries this number on paper, so the paper and digital archives meet at every scan.

How automatic numbering works

A numbering pattern per folder

Set the prefix, suffix, separator, number of digits and starting point, and choose whether to include the year, month or day. The pattern can differ between the certificates folder and the contracts folder, or be applied to subfolders.

A unique number on upload

Every document takes the next number in its folder's sequence the moment it is uploaded, whether from a computer, a scan or correspondence, and the number shows on the document's card.

A numbering log

Each folder keeps a numbering log showing which numbers were issued, to which documents and when, so the sequence can be reviewed at any time.

A barcode carrying the number

Each document gets a barcode that can be printed, added to the digital security sticker, or attached to the paper copy.

One scan opens the file

Scan the barcode with a phone camera or a desk reader and the digital file opens with its versions, data and history, according to the user's permissions.

Auto-numbering and barcodes

What auto-numbering with barcodes enables

  • Retrieving the digital file from the paper in one scan.
  • Checking that a paper copy matches the original file.
  • Linking the sheet to its location card in the physical archive.
  • Separate sequences for outgoing and incoming correspondence.
  • Printing consistent labels for every document.
  • Citing a trusted number in correspondence and reports.

Real-world example

The training department sets the numbering of the certificates folder: prefix CERT and suffix TRN, with the year, the month and a 4-digit sequence. A training completion certificate uploaded there automatically takes CERT-26-10-0001-TRN, and its barcode is printed on the signed copy before it goes into the cabinet. Months later an auditor holding the paper certificate needs the digital version, scans the barcode with a phone and opens the file with its versions and audit log within seconds.

Frequently asked questions

Can the numbering pattern differ between folders?

Yes. Each folder has its own pattern of prefix, suffix, separator, digit count and starting point, and a folder's pattern can be applied to its subfolders when needed.

Can the date be included in the number?

Yes. The year, month and day can each be included in the number with separate options, so a document's date can be read from its number.

Can old document numbers be kept during migration?

Yes. Previous numbers are kept as a reference field in the document's data, and the document receives its new Mstnd number without losing the old reference.

Which devices read the barcode?

A phone camera through Mstnd, and desk barcode readers connected to a computer.

How is the barcode different from the digital security sticker?

The barcode carries the document number to link paper to file, while the digital security sticker adds the status, date and attachment count alongside the barcode. They can be used together.

Give every document its number from the moment it is uploaded.
