How does electronic signature work in the Mstnd system?

A user saves their custom signature in their profile, and a division or the organization saves its stamps by permission. When a document is signed or stamped, the action is applied inside the system and the performer's name, the time, and the linked copy are recorded. A signing request can also be sent to an external party through a secure link and an enabled verification method.

The problem

A contract is printed and signed by hand, then scanned and uploaded again. Through this cycle, multiple copies appear, it may be unclear who signed and when, and whether the uploaded copy is the same one that got approval.

How Mstnd solves it

The user signs, or the authorized holder stamps, the document from inside the system, or sends a request to an external party through a secure link with OTP or Nafath. Mstnd links the signature to the performer's identity, its time, and the document version, and keeps it in the document's log.

A user can add their signature per the options available in their profile, then use it on the documents they're authorized to sign. Having a signature doesn't mean every user can apply it; permission and the approval path determine who signs and when.

You can manage the organization's or a division's stamp and make it available only to those authorized. The stamp stays an administrative asset governed by permissions — not an image any employee can download and use out of context.

Signing within a workflow

You can make signing a step that comes after review and approval. That way the document only reaches the signer once the earlier conditions are met, and the signature is applied to the correct copy.

External signing without a full account

Share the document through a secure link and specify that the required action is signing or review. The party reaches the dedicated page, verifies through the enabled method, and carries out the action without entering the rest of the organization's system.

Nafath verification and an auditable log

The signer's identity can be verified via Nafath, and the system records who performed the signature or stamp, when, and on which document or version, so the copy becomes tied to the signer's identity and the action log.

Real-world example

A services agreement completes its approval inside a workflow. The signing step reaches the authorized manager, who opens the approved copy and signs it inside Mstnd. After that, the agreement is sent to the client through a secure link for their signature, then the completed copy is saved with the action log instead of exchanging multiple files by email.
